With the following information, we would like to give you, as a “data subject,” an overview of the processing of your personal data by us and your rights under data protection laws. The processing of personal data, such as your name and email address, is always carried out in accordance with the General Data Protection Regulation (GDPR) and in compliance with the country-specific data protection regulations applicable to Chemnitz University of Technology.
As the data controller, we have implemented numerous technical and organisational measures to ensure that the personal data processed via this website is protected as completely as possible. Nevertheless, Internet-based data transmissions can generally have security gaps, so absolute protection cannot be guaranteed.

4. Purposes and Legal Bases for Data Processing
a) For all website visitors (technically necessary processing)
Server-log data
- Purpose: To ensure the security and functionality of our website. Our server automatically collects and stores information in so-called “server log files.”
- Data Processed: IP address, browser type and version, operating system, referrer URL, date and time of the server request.
- Legal Basis: Our legitimate interest in providing a secure and functional website (Art. 6(1)(f) GDPR). This collected data is stored separately from all personal data provided by a data subject.
Essential cookies
- Purpose: To enable and simplify the use of our website, for example, by providing the login function for teachers.
- Data Processed: Session IDs, user choices on cookies (consent, revocation).
- Legal Basis: Our legitimate interest in providing a user-friendly and functional website (Art. 6(1)(f) GDPR).
b) For teachers (test users)
We process your personal data based on your explicit consent (Art. 6(1)(a) GDPR).
- Purpose: To provide a test login for authentication; to enable the creation and management of course and event offerings; and to automatically send the link to the student registration form and the final participant list via email.
- Data Processed: Test login credentials, teacher’s first name, last name, and email address, and other course-related data.
- Legal Basis: Your consent, which you provide by using the test login and submitting the form.
c) For students (course participants)
We process your personal data based on your explicit consent (Art. 6(1)(a) GDPR).
- Purpose: To enable registration for a selected course or event and to transmit your registration data to the responsible teacher for organizational purposes.
- Data Processed: First name, last name, university email address.
- Legal Basis: Your consent, which you provide by actively ticking the checkbox in the registration form.
d) For project reporting (anonymized)
- Purpose: To fulfill reporting obligations within the EU project Across, in particular for measuring mobility indicators.
- Processed data: Participant lists (containing first name, last name, and university email address) are processed for the purpose of compiling statistics. This personal data is anonymized immediately during the statistical evaluation. The end result of the processing is exclusively aggregated, anonymous data (e.g., “15 students from University X”) that does not allow any conclusions to be drawn about your person.
- Legal Basis: Our legitimate interest in fulfilling the reporting obligations required by the EU project Across (Art. 6(1)(f) GDPR).
5. Recipients of Your Data
Your personal data is stored exclusively on the servers of Technische Universität Chemnitz in Germany. Access to or transfer of your data only occurs to the following parties:
- Students: Your registration data will be forwarded to the respective teacher of the course you registered for.
- Teachers: The course data you create is visible to the IT administration of Technische Universität Chemnitz and, in part, on the eCampus website.
- Across Project Partners: For project reporting, the university of the organizing teacher receives the participant list to generate anonymized statistics.
- Across Office: To ensure the successful launch and coordination of the project, a limited set of personal data may be shared with the Across Office for the initial phase of the project. This sharing is done exclusively for administrative and coordination purposes.
6. Online Event and Course Participants
We process your data for the purpose of organizing, conducting, and documenting online events and courses of the Across eCampus.
The data processed includes:
- Participant and registration data: Name, surname, email address, affiliation, and other data provided during registration.
- Meeting metadata: Information about the online session, such as topic, IP address, device/hardware information, and the start and end time.
- Communication data: Content of your contributions in the chat, via Q\&A, or through voice and video if you actively enable these functions.
- Audio and video data: Your audio and video streams if you choose to activate your camera and microphone.
The legal basis for the processing of this data is your consent in accordance with Article 6 (1) (a) GDPR. By joining the online event, you provide your consent to the processing of your data as described here.
For the purpose of providing this service, we use a third-party provider for online meetings. This service provider acts as a processor for us. We have concluded a data processing agreement with this provider to ensure your data is processed according to our instructions and in compliance with the GDPR.
The recipients of your data are the moderators and other participants of the online event. Data is also processed by the third-party service provider.
Data Transfers to Third Countries: If the service provider is located outside the European Economic Area (EEA), your personal data may be transferred to a third country (e.g., the USA). Please be aware that in some third countries, there may not be a level of data protection comparable to that of the EU, and authorities may have access to this data. You can withdraw your consent at any time with future effect.
7. Data Retention Period
We process and store your personal data only for the period of time required to fulfill the purposes mentioned above. If the storage purpose no longer applies or if a prescribed storage period expires, the personal data will be routinely blocked or deleted in accordance with the statutory provisions.
- Teacher Data (Course Data): Will be deleted after the completion and evaluation of the test phase.
- Student Data (Registration Data): Will be stored for the duration of the project and for a period of 10 years following the project’s completion to comply with EU funding and reporting obligations, including potential audits. The data will be deleted thereafter.
- Server Log Files: IP addresses are stored in their complete form exclusively for a period of 3 months to ensure technical security and for troubleshooting. After this period, the data is deleted. For statistical analysis to measure website usage for project reporting, IP addresses are pseudonymized immediately after collection by being converted into a non-traceable hash code. The original IP address is not stored at any time. The pseudonymized data is retained for a period of 10 years to comply with the EU project’s reporting obligations. The data is deleted thereafter.
8. Your Rights as a Data Subject
You have the right to:
- Right of access (Art. 15 GDPR): To request confirmation as to whether your personal data is being processed and to receive information about the stored data.
- Right to rectification (Art. 16 GDPR): To have inaccurate data rectified.
- Right to erasure (Art. 17 GDPR): To have your data erased (“right to be forgotten”), unless processing or storage is necessary.
- Right to restriction of processing (Art. 18 GDPR).
- Right to data portability (Art. 20 GDPR).
- Right to withdraw consent (Art. 7(3) GDPR): To withdraw your consent at any time with future effect. The lawfulness of the processing carried out before the withdrawal remains unaffected.
To exercise your rights, please contact the email address provided in Section 2. You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR).
9. Topicality and Amendment of this Privacy Policy
This privacy policy is currently valid as of the date specified at the top. It may become necessary to amend this privacy policy due to the further development of our website or due to changes in legal or official requirements. The current privacy policy can be accessed and printed out at any time on the website.
